Hear every phone interview, from the first ring to the last answer

Every call is recorded, and the whole interview sits on one card.

  • Every call has its own recording and its own player.
  • One card per phone round. One call or five, it's the same card and the same score.
  • The transcript reads as one conversation. Where a call dropped, a line in the transcript says so, and says how long it was before we rang back.
  • 5 of 6 questions asked sits next to the score whenever the interview ended short.

A call that drops is continued, not started over

A dropped call used to mean starting again from the greeting: the same questions in the wrong language, a second half-finished interview, and two scores where there should have been one.

  • The call back picks up where the call stopped. Questions already answered, or declined, are not asked again, and neither is the ice-breaker.
  • It opens by saying why: the earlier call got cut off, is this still you, is now alright. In the language they'd already chosen.
  • One score for the whole interview, worked out from both calls together. One interview, charged once.
  • If the call back never connects, we score the answers we did get.

Hiring

Add the rounds that come after the phone call

A phone interview used to have to be the entire pipeline. Now it can be the first round of one.

  • Any stages you like can follow the phone interview. It stays first.
  • Auto Progress, on the phone stage, decides what happens when the call ends. On: the candidate moves to the next stage and is sent the link. Off: their card waits in the phone column until you move it.
  • The link goes out by email, and by WhatsApp as well when the job sends WhatsApp invites and the candidate has a usable number. The email names the round they're being sent to.

  1. They scored below the cut-off you set

    Marked poor fit. Nothing is sent, whatever Auto Progress says.

  2. They passed, and Auto Progress is on

    Moved to the next round and sent the link, by email and by WhatsApp when the job uses it.

  3. They passed, and Auto Progress is off

    Their card waits in the phone column until you move it. Moving it sends the usual invite.

The candidate picks the language, on the call

If multiple languages are enabled for an assessment, the bot asks the candidate which of those languages they'd like to continue in, before the interview starts. During the call, the candidate can switch to any of the enabled languages at any point.

A candidate who missed our call can ring the number straight back

  • Ring it back and, if there's a call waiting to be made to that number, the interview starts there and then, without waiting for the next attempt.
  • If their earlier call dropped, ringing back continues it from where it stopped, exactly as if we'd rung them.
  • The number is 080 3180 3101. Ring it with nothing scheduled and there's one short line and the call ends.

Interviews

When we call, how many times, and when we stop

What happens on a phone interview

  1. 1

    We only call inside your call window.

    9:00 AM to 7:00 PM, Monday to Friday by default, in the timezone set on the assessment. A call that would land outside the window waits for the next slot.

  2. 2

    Nobody picks up.

    We try again. Up to 5 more times by default, an hour apart, and never closer together than 15 minutes.

  3. 3

    They say "not now", or "call me at four".

    The bot asks when suits them, repeats the time back to confirm it, and books it. Up to 5 call backs per candidate.

  4. 4

    They give a time we can't make sense of.

    We try again 2 hours later, by default.

  5. 5

    They hang up in the first 30 seconds.

    Treated as "not now", and handled by the call back rules above.

  6. 6

    The call drops before half the questions are done.

    We ring back about 5 minutes later and carry on where it stopped. Once per interview, by default.

  7. 7

    The call drops after half the questions are done.

    We score what was answered. No call back.

  8. We have called 10 times.

    The card reads Call attempts used up, and nothing further is dialled.
